Planning for a Safe, In-Person 2022 Hinman – updated March 8, 2022


The Thomas P. Hinman Dental Meeting (HINMAN) is implementing increased safety and health protocols for all participants, vendors, staff and contractors. These protocols will be in force March 17-19, 2022 at the Omni Hotel at CNN Center and at the state-owned Georgia World Congress Center (GWCC), where all official functions will take place.

 

GWCC was the first convention center in the United States to achieve the Global Biorisk Advisory Council (GBAC) STAR™ accreditation for cleaning, disinfection and infectious disease prevention. To achieve GBAC STAR™ accreditation, the GWCC demonstrated compliance with the program's 20 elements, ranging from standard operating procedures and risk assessment strategies to personal protective equipment and emergency preparedness and response measures.

 

Below are HINMAN’s guidance so that we can produce a safe event. All attendees and exhibitors will receive a final confirmation one week prior to the start of the Meeting that will include the current safety and health protocols. Please note that the safety initiatives may change as public health authorities make new recommendations on protocols.

 

  • Recommend participants be fully vaccinated
  • Recommend masks for all participants in course rooms and the Exhibit Hall, unless eating or drinking
  • Reaffirming that anyone exhibiting COVID-like symptoms (fever, coughing, shortness of breath, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion, nausea, diarrhea) should not attend HINMAN
  • Providing for additional cleaning and disinfection of all public spaces, restrooms and high-touch building areas
  • Providing hand sanitizer stations made available throughout the facility and exhibit floor
  • Encouraging physical distancing measures where appropriate
  • Encouraging anyone who develops COVID-like symptoms or who tests positive for COVID to immediately leave the premises


Sanitation

GWCC staff will clean all high volume and high touch areas on an increased frequency to promote healthy sanitation overall.

 

Ventilation

Air handling and circulation is continuously monitored by GWCC HVAC technicians to ensure optimum and safe airflow. Each of GWCC's buildings have been upgraded to MERV 13 filters (Filtration / Disinfection (ashrae.org), which trap smaller particles and improve the system's efficacy in removing viruses from circulated air.

 

Touchless Registration

HINMAN aims to minimize lines and entry transactions. Attendees and exhibitors are encouraged to register online before the show and have their badges mailed to their home location, thus eliminating the need for standing in queues. Once onsite, attendees are still encouraged to register online using the HINMAN official smartphone APP. Register online by March 8, 2022 to receive your badge in the mail.

 

Mask Usage

HINMAN recommends the wearing of protective masks for all attendees and exhibitors at the GWCC and Omni Hotel at CNN Center while in course rooms and while visiting the exhibit hall. The city of Atlanta’s indoor mask mandate has been lifted, but masks are still mandatory at all times inside Hartsfield-Jackson Atlanta International Airport.

HINMAN will provide first-aid services for exhibitors, attendees and other personnel working during set-up, exposition and dismantling operations.  First aid locations below:

COVID-19 Testing Sites

HINMAN COVID POLICY

While participating in events held or sponsored by The Hinman Dental Society of Atlanta, Inc. (“Hinman”), attendees shall take reasonable steps to reduce the risks of exposure to COVID-19, such as frequent hand-washing and sanitizing, and shall note and respect any event-specific guidance issued by Hinman.

 

By attending a Hinman event, you certify that you do not fall into any of the following categories:

(1) Individuals who currently or within the past fourteen (14) days have experienced any symptoms associated with COVID-19, which include a number of possible symptoms listed here.

(2) Individuals who have traveled at any point in the past fourteen (14) days either internationally or to a community in the U.S. that is experiencing sustained community spread of COVID-19; or

(3) Individuals who believe that they may have been exposed to a confirmed or suspected case of COVID-19 or have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment.

 

DUTY TO SELF-MONITOR.  By registering to attend an in-person Hinman event, you agree to self-monitor for signs and symptoms of COVID-19 and contact Hinman at 404-231-1663 if you experience symptoms of COVID-19 within fourteen (14) days after attending an in-person Hinman event.  Hinman also encourages you to take action to inform other attendees with whom you were in close contact at the event.  Due to the nature of the event, Hinman cannot guarantee, and does not represent, that it will or can inform everyone who was in close proximity to a person with a possible COVID case of the potential exposure.  If Hinman is informed within fourteen (14) days after an event that one (1) or more persons attended the event with a possible or confirmed COVID case but cannot identify which attendees in particular may have been in close proximity to the patient, all event attendees will be notified as soon as possible via email.

 

LIABILITY WAIVER AND RELEASE OF CLAIMS.  You acknowledge that you derive personal benefit from your attendance at this in-person Hinman event (the “Activity”) and willingly engage in this Activity.  By registering for the Activity, you hereby release, waive and forever discharge any and all liability, claims, and demands of whatever kind or nature against Hinman and its speakers and exhibitors, including in each case, without limitation, their directors, officers, employees, volunteers, and agents (the “Released Parties”), either in law or in equity, to the fullest extent permissible by law, including but not limited to damages or losses caused by the negligence, fault or conduct of any kind on the part of the Released Parties, including but not limited to death, bodily injury, illness, economic loss, or loss or damage to property, which you, your heirs, assignees, next of kin and/or legally appointed or designated representatives, may have or which may hereinafter accrue on your behalf, which arise or may hereafter arise from your participation in the Activity.

 

ASSUMPTION OF THE RISK. By registering for the Activity, you acknowledge and understand the following:  Your attendance at an in-person Hinman event includes possible exposure to and illness from infectious diseases including but not limited to COVID-19. While particular rules and personal discipline may reduce this risk, the risk of serious illness and death does exist. You knowingly and freely assume all such risks associated with the Activity, even if arising from the negligence, fault or conduct of any kind on the part of the Released Parties. BY ATTENDING AND/OR PARTICIPATING IN THE ACTIVITY, YOU ARE DEEMED TO HAVE GIVEN A FULL RELEASE OF LIABILITY TO THE RELEASED PARTIES TO THE FULLEST EXTENT PERMITTED BY LAW.
